Accurate process documentation is critical for the success of major technology initiatives. To address this, we are introducing the Scribe role as part of large-scale project teams. The Scribe role will contribute to the team by capturing business requirement information in longhand on paper or electronic media, verbally illustrating the workflow, and visualizing the final output within MS Word and/or Visio. The Scribe works collaboratively with team members to capture, illustrate, and organize business requirements and workflows using a combination of written and visual documentation. The noted temporary role will be required for 9 months and if necessary extended in 3-month increments.

The Scribe Will Collaborate With a Meeting Facilitator, Project Coordinator, And Subject Matter Expert(s) As Part Of An IT Team. As a Member Of a Business Requirements Solicitation And Capture Process, The Scribe Is Responsible For:

  • Documenting detailed process activities, tasks, and steps to illustrate how work is enters, is executed, and output created within assigned departments.
  • Creating clear and organized records of discussions, workflows, and requirements using MS Word and Visio.
  • Ensuring accuracy and completeness in documentation to support project objectives and alignment across departments.

Supportive job functions: *

The Scribe may assist in managing logistical arrangements for meetings, including scheduling rooms, inviting participants, and coordinating IT support for audiovisual and network needs.

Contribute to and participate in projects outside the business requirements solicitation and capture process as needed.

Maintain proactive awareness of team capacity and demonstrate a willingness to volunteer for tasks that help offset the workload of other full-time team members during periods of lower demand.

  • These tasks do not meet the Americans with Disabilities Act definition of essential job functions and usually equal 5% or less of time spent. However, these tasks still constitute important performance aspects of the job.

Knowledge, Skills, And Abilities:

Demonstrated Knowledge/Skills in:

  • Concise, able to listen to roughly 10,000 words of discussion for a complex departmental process and be able to distill the discussion into roughly 100 words of written record.
  • Experienced in process diagram review, creation and modification
  • Attentive to details
  • Able to decide quickly and without guidance where to show each step of the scenario in process flow.
  • Well organized
  • Excellent writing/typing skills
  • Intermediate skill in Microsoft Word, Excel
  • Advanced skills in Microsoft Visio for workflow visualization.

  • Balances focus on past, present, and future process steps to ensure efficient documentation for faster input or supporting the Leader/Team with what was recorded in previous sections.
  • Anticipates future requirements and prepares documentation in alignment with team discussions.

Education And Experience

  • A high school diploma is required. An Associate or Bachelor’s degree is preferred.
  • At least 2 years of experience in documentation, workflow analysis, or process improvement is required, preferably in a technology-driven or multi-departmental project environment.
