JOB TITLE: Special Events Coordinator
JOB SUMMARY
The Special Events Coordinator is responsible for organizing and executing Pasadena Humane’s annual signature fundraising and third-party fundraising events.
JOB DUTIES AND RESPONSIBILITIES
- Under the supervision of the Partnerships & Events Manager, plans, organizes, and executes Pasadena Humane’s annual signature fundraising events, including pre-, post- and day-of event details.
- Secures and coordinates event vendors.
- Together with the Partnerships & Events Manager, collaborates with Communications & Marketing Department on event materials and communications (digital and print).
- Proofs digital and print event materials.
- Writes copy for e-blasts, website, SCOOP, emails, and other communications.
- Assists with all other department events, including donor cultivation, stewardship events and 3rd party fundraisers.
- Supervises in-office event volunteers as necessary.
- Solicits in-kind donations for the organization as needed.
- Works with Partnerships & Events Manager to identify and solicit potential event sponsors.
- Works with Partnerships & Events Manager to ensure appropriate recognition and fulfillment of sponsor benefits.
- Interfaces with the Outreach Programs Manager on community outreach events and public programs as necessary.
- Oversees, tracks, and reports on all event expenses and revenue while maintaining records and inventories of supplies.
- Schedules and manages event committee meetings; prepares agendas, minutes, meeting reminders, and reports as needed.
- Works with the Volunteer Services Department to coordinate event volunteer opportunities, job descriptions, scheduling, and training.
- Accurately records contacts and other information into donor database as well as ensures all event funds are processed according to Pasadena Humane policies.
- Conveys the organization’s mission to the community, donors, and volunteers while maintaining tact, diplomacy, and confidentiality.
- Monitors, evaluates, and reports on progress toward meeting goals.
- Meets annual productivity and performance expectations.
- Follows organization-wide branding efforts.
- Follows and adheres to the annual Philanthropy Plan.
Submits expenses for approval and collaborates with department staff to meet annual expense budgets. - Subscribes and adheres to AFP’s Code of Ethical Principles and Standards, promotes the Donor Bill of Rights, and maintains donor confidentiality at all times.
- Upholds Pasadena Humane’s mission and Core Values and contributes to building a culture of philanthropy.
- Works as a team member with other departmental coordinators.
- Performs and participates in special projects, events, and other duties as assigned.
REQUIREMENTS AND QUALIFICATIONS
- Minimum 2 years of experience managing special events at a nonprofit organization.
- Equivalent to a bachelor’s degree from an accredited four-year college or university in communications or a related field. An equivalent combination of education and experience will be considered.
- Experience with peer-to-peer fundraising a plus.
- Self-starter with extraordinary organizational skills and attention to detail.
- Ability to work and thrive in a fast-paced environment with shifting priorities.
- Flexibility with hours and schedule to accommodate events and workload.
- High energy with the stamina necessary to manage events with accuracy under pressure.
- Skilled at relationship building.
- Determination to grow the fundraising base and community support for Pasadena Humane.
- Excellent written and verbal communication skills including public speaking.
- Excellent mail merge skills required
- Excellent computer skills, including competency with Classy, CMS databases, Microsoft Excel, and Word.
- Basic graphic design skills a plus.
- Strong sense of professional judgment and ability to maintain confidentiality.

- Must interact positively with supervisor, management, coworkers, volunteers, and the public to promote a team effort and maintain a positive and professional approach.

WORK SCHEDULE
- Must come to work regularly and on time. Must be able to work according to the needs of the department schedule, including, early hours, weekends, and holidays. Evening and weekend event participation is required.
WORKING CONDITIONS
- Fast-paced environment. Employees are exposed to numerous animals (live and deceased), including those with uncertain dispositions. They are required to act in a safe and responsible manner.

- While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle or feel; reach with hands and arms, climb or balance, stoop kneel, crouch, crawl; talk or hear and/or smell. The employee must occasionally lift and/or move up to 50 pounds. Vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
